Why do we process personal data?
We process your personal data for the following purposes and legal reasons:
To participate in the activities of Leuven Twins vzw (membership agreement)
To send out newsletters and invitations (legitimate interest)
To request subsidies from the government (legal obligation)
We can ask, save and process the following personal data for the reasons listed above:
Identifying information: name, first name, address, phone number, email address
Identifying information parents when the member is under 18 years of age: phone number & email address
Personal information: sex, date of birth, nationality
We use the information collected only for the purposes listed above.
Distribution to third parties
We can distribute the information given to us to third parties if it is strictly necessary for the purposes listed above.
We use a third party to:
Provide an internet environment (webhosting)
Provide IT infrastructure (e.g. IT network, …)
Distribute newsletters and invitations
We will never provide personal information to processors (other parties) other than those we have a processor agreement with. We have made the proper agreements with these third parties to secure your personal information.
We will not provide your information to third parties unless it is legally obligated and/or allowed, such as in the case of a police investigation.
We can share your information with third parties if you agree to this. This agreement can be withdrawn at all times, without detriment to the lawfulness of processing before withdrawing the agreement. We do not provide your information to third parties outside of the EU.
Minors
We only process personal data of people under the age of 18 when we have been given written permission by a parent or legal guardian.

Leuven Twins vzw will save personal data no longer than strictly necessary for the purpose they were acquired or legally required. Leuven Twins vzw will save personal data no longer than 5 years.

All persons who can access your personal data in name of Leuven Twins vzw are held to keeping your information secret.
We have a username and password policy for all our systems
We pseudonimise and encrypt all personal data when necessary
We make backups of personal data to be able to recover them in case of physical or technical incidents;
We test and evaluate our measures regularly;
Our contributors are informed about the importance of protecting personal data.
